MAIN PURPOSE OF JOB
The Material Coordinator will be responsible for the day to day materials management operations within the catheter laboratory setting of Capital. Utilizing the IHS Inventory Management System, the jobholder will be responsible for ensuring that the local booking of delivered stock and consumption reporting by hospital staff is accurate and conforms to work instructions and good practice. Managing new product entries and obsolescence reporting will be a key requirement. Ensuring product availability in a timely manner and managing stock levels and expirations. Liaising with the IHS back-office and suppliers (where appropriate) will be a key responsibility to ensure material availability and that supplier commitments are honored.
MAIN JOB DUTIES/RESPONSIBILITIES
IHS Cath Lab Management support: Proactive report generation & audit to fulfill contract obligations, identify activity and performance levels, addressing performance improvement opportunities.
Analysis and Reporting: Run all ad-hoc and standard reporting as required by Service Delivery Management, IHS Finance and IHS Back-office. Create and manage activity logs, error logs, Tracer report where required manually generated reporting based on analyses of collected data from various sources. Provide input to the Cath Lab Manager for monthly Operational performance reporting and Quarterly Install-base reporting. Follow up on performance issues and provide feedback information to back-office, IHS on-site staff, hospital and suppliers.
Material Management System Subject Matter Expert: Become an expert user of the IHS Inventory Management System the local point of contact for all related issues updates and enquires. Provide system training to clients’ users if/as required.
Material Handling: Receive materials on-site according to specified goods receipt procedures using barcode scanning. Transfer goods to IHS depot on-site and ensure storage is done according to Good Storage Practices. Replenishment of Shelves and cabinets in the Cath Lab, ensuring availability of stock in the right quantity at the right location. Collect and process/dispose packaging material of packaging material as required. Work with hospital logistics/warehousing team and suppliers’ logistics providers as required.
Oversight of material consumption: Responsible for the daily accurate recording of material consumption, following agreed process of local delegation to staff when providing absence cover
Procedure Audit: Using the Inventory Management System to perform regular procedure audits to ensure accurate traceability, accurate system and physical inventory records and complete consumption recording.
Returns Management: Main point of contact and organize returns to all suppliers through agreed processes, liaise with back-office, suppliers and manage IHS and hospital expectations around this.
Obsolescence & short Use By Date (UBD) Management: Monitor and implement initiatives to decrease the obsolescence risk to the hospital solution portfolio, Manage PAR Level (min/max inventory levels). Use performance indicators to track Slow-moving, Obsolete, Gains & Losses.
Support product planning: Partner with back-office, Medtronic BU’s and Supplier Sales team to review stock levels regarding new product launches, initial ordering, master-data setup. Provide periodic material demand forecasts to suppliers based on historic and projected consumption.
Define order requests: Define required order quantity and place requests at the back-office for ordering. Follow up order to actual receipt and back-order management together with back-office.
Process Improvements: Execute local process improvement initiatives to manage expectations of
all parties involved in operations. (Service Delivery Suppliers, back-office, hospital). Review all current processes, update, create and document, in-line with current IHS standard operating processes and submit as a template for future projects.
- A good standard of general education, commercial awareness & professionalism.
Fluent in English and Arabic.
- Experience of working in Supply Chain / Inventory Related Roles or Data Analyst roles.
Knowledge of Cardiology / cath lab materials is preferred.
Experience in a cath lab department / familiarity with cath lab procedures is preferred.
Knowledge of the local supplier market, reimbursement system and regulatory requirements for the Medical Device sector is preferred.
Experience working with automated inventory management systems.
Experience of working with private companies in the healthcare sector is a plus
Experience in a large multinational company is a plus.
Experience in project management, lean and process improvement is a plus
- Expert knowledge of Excel or Similar Spreadsheet and of Microsoft Office Suite.
Business Analytics experience.

- Work location is Saud Al-Babtain Cardiac Center, Dammam, KSA.
Occasional travel might be required in support of other cath lab managed services operations / projects across KSA as required. Travel will be max 25%.
